    Purpose
    The role provides administrative support to the Logistics function, and also liaises with the Commodities buying function where necessary, specifically covering the import of the products and associated documentation and administration. The role also covers the maintenance of key logistics information, such as the periodic shipping rate schedule, variance analysis of logistics costs for period reporting, and co-ordination of the insurance claims process for the Logistics department.

    Scope
    The analysis and maintenance of logistics information covers export and import shipping movements to the value of £6,000,000 annually. The role will liaise with various departments within the company, such as the accounts team and the factory planners, and with various external suppliers such as third party providers of clearance, freight forwarding, warehousing and other logistics services.

    Key Accountabilities

    To ensure that imports of the products are processed on arrival at port, and to work with our 3rd party warehouse to ensure speed and accuracy of imports, enabling the timely delivery to our factories, and prompt payment of invoices.
    To contribute to accurate data entry to MFG/Pro, Access databases of any product import related information. Management of the interface between the company and the warehouse, in relation to the accuracy of the information being transmitted and received, and the resolution of any transaction failures.
    To monitor and check the period RFQ submitted by the freight forwarder and be a point of contact for any queries on this key piece of information.
    To assist the analysis of logistics import and export costs for each period against the stated budget costs, and any other variance analysis or reconciliation of logistics spend as necessary.
    Ownership of the process for packaging and finished goods imports freight receipting and approval.
    To co-ordinate and maintain the process by which logistics insurance claims are submitted and resolved on behalf of the Logistics function.
    To ensure that all working practices comply with health and safety legislation.
    Person Profile

    The successful candidate will have a high level of numeracy and be comfortable with working with large amounts of information in a detailed and accurate manner.

    They will be proficient in building relationships with colleagues at various levels both inside and outside of the business, and will possess good literacy and communication skills.

    They will also be someone who considers that being accountable for themselves is a key pillar of their approach, and who is motivated by being open to opportunities for development and innovation.

    Role Requirements

    Experience / Achievements:

    The role requires good experience of working in an administrative environment and preferably also a good basic understanding of the freight world.

    The candidate should be someone who is comfortable with improving and developing existing processes, and who can clearly demonstrate a capacity for challenging and investigating the data with which they are presented, rather than accepting information without question.

    Skills / Knowledge:

    It is essential that the candidate will have a basic understanding of freight operations and associated processes.

    There is an absolute requirement for a good knowledge of Excel, and of ERP or data capture systems: experience of MFG/Pro would be an advantage, but is not essential.

    A reasonable working knowledge of standard office programs such as MS Outlook and MS Word would be expected.

    Qualifications:

    A logistics / freight qualification would be desirable but not essential.
