My client is looking for an HR Assistant on a part time basis for 6 months.
You will work under the direction of the Head of HR, this post is responsible for providing a professional administrative support for the HR function.
You will be undertaking:
Recruitment
This will include write job advertisements, liaise with advertising agencies
Photocopy application packs, respond to application requests and track completed forms and other monitoring information.
Arrange and schedule interviews
Apply for references – written and telephone
Liaise with Association Medical Advisor and CRB disclosure agency (where appropriate)
Coordinate Start date and first day arrangements with necessary departments
Raise Purchase Orders for associated recruitment costs
Carry out market reviews and spot check salary assessments
Load job details on to various job boards and on to external website
Liaise with IT with regards to updating intranet with jobs
Coordinates quarterly induction programme – ensuring all new staff receive training in first 2/4 months.
Sickness
Receive absence records from department managers, record data and forward to payroll
Ensure return to work interviews are completed
Advise managers when trigger points are near to being met
Collate doctors medical certificates and send to payroll
Ensures Association contact is maintained for staff of long-term sick leave
Training and Development
Book all training courses, ensure all accurate training information is maintained
Raise Purchase Orders for associated training costs
Coordinate in-house training provide - admin and facilities support to training providers
Assist managers and staff to identify training courses
Assist in coordination of Association Training Needs Analysis
Coordinate distribution of Training reviews/materials throughout relevant Association staff
Send out and collate training evaluation sheets
Responsible for staff professional development subscriptions
Ensure delegate attendance on all internal training courses
Arrange re-certifications, especially for Health and Safety courses
In addition....
You will also liaise with Payroll with regards to any salary changes
Identify appropriate departments of terminations
Administer the exit questionnaire, arrange exit interviews with HR Advisor
General confidential filing. Ensure all records are up to date, and any information is discarded from files that are beyond their validity date – ie Disciplinary sanctions
Send terminated employees’ files to Hugh Symons for scanning
General departmental photocopying, typing and record keeping
Ensure all employee records are up to date – re change of address, salary etc on both their personnel files and the HR IT system
Monitors Probationary period interviews/reviews and progress of staff through the probationary period. Liaises with line managers.
Spot check leave and flexi-time cards and advise HR Advise on any discrepancies with line managers and individual employees
To remain confidential at all times
You will have A good standard of general education GCSE or equivalent
Ideally have some knowledge of Employment Legislation
You will have good communication skills – face to face, written and telephone
Filing – keep paper records up to date and within the data protection legislation
The role is based within a town centre location, you will be reliable, hard working and flexiable at times to work to the needs of the business.
